PRODUCT DESCRIPTION ---------------------- Alcatel PIMphony Standard Edition is a personal productivity tool that connects your Alcatel Reflexe terminal with your computer, providing an efficiency boost in the usage of your telephone. Alcatel PIMphony IP Edition is an IP phone that provides the same feature level as PIMphony Standard Edition. PIMphony IP Edition is based on Voice over IP technology (VoIP). No real terminal is required. Alcatel PIMphony provides also a tight integration with the most popular PIMs (Personal Information Manager) on the market and brings Computer Telephony to it. Supported PIMs are: - Microsoft Outlook 97, Outlook 98, Outlook 2000 - Goldmine v4, Goldmine v5 - Act! v4, Act! 2000 - Access 97, Access 2000 --------------- 2. NEW FEATURES --------------- New features that are not described in the on-line help: · drag&drop support from an Outlook contact into the dial edit field · drag&drop support from a drag-aware application into the dial edit field · drag&drop support from a drag-aware application onto the dial button · Advanced popup configuration (Outlook 97/98): - button 'Synchronize': starts immediately an incremental synchronization with contact cards defined in the PIM - button 'Reinitialize': starts immediately a full synchronization with contact cards defined in the PIM. Must be used when contact folder selection changes. · Multiple folders (.pst files) are now supported (Outlook 2000 only). · If you use a PIM database which does not contain dialable numbers with output prefix, you can add this prefix automatically when dialing, by activating a rule in the Telephony tab in the configuration window. This rule will also be used by PIMphony when writing dialable telephone numbers in PIM contacts, call log, ... --------------------- 3. INSTALLATION NOTES --------------------- 3.1 Before You Run Setup Before you install Alcatel PIMphony, make sure that your computer meets the minimum hardware and software requirements. 3.1.1 Hardware Requirements To install Alcatel PIMphony, you must meet certain hardware requirements, which include the following: · Any x86-compatible computer with at least a Pentium 166 Mhz processor (Pentium 233 Mhz processor recommanded for remote worker using PIMphony IP) · A hard disk with a minimum of 30 megabytes (MB) available space · 48 MB of RAM (recommanded) · A CD-ROM drive · A graphical display setting with a color palette of at least 65536 colors is recommended but not mandatory For PIMphony Standard Edition: · A free serial port (COM1 or COM2) For PIMphony IP Edition: · Ethernet board (for LAN connection) or Modem V90 (for remote access connection) · Windows compatible sound card with full duplex driver · Microphone and loudspeakers or headset or external handset · Free wave port · Free serial port if an external handset (e.g. Audibit) is used 3.1.2 Software Requirements Before you install Alcatel PIMphony, your computer must meet the following software requirements: · Any of the following operating system platforms: - Windows 2000 Professional - Windows NT 4.0 SP3 Workstation (SP4 for PIMphony IP Edition) - Windows 95 for PIMphony Standard Edition only - Windows 98 - Windows 98 2nd Edition · Microsoft Internet Explorer v4.01 or later is strongly recommended for HTML on-line help support For PIMphony IP Edition: · IP connection to PABX (through LAN or Modem) 3.2 Installing Alcatel PIMphony Insert the CD-ROM. If the installation setup does not start automatically, run the 'setup.exe' program from Windows Explorer. Follow instructions on the screen. 3.3 Post installation We recommand to do a full synchronisation with the PIM (Outlook 97/98 only). If you start PIMphony and the connection to the terminal cannot be established (PIMphony icon remains red), there can be two reasons: - another application uses TAPI during the installation: you have to close and restart this application. - a Windows service uses TAPI: you have to shutdown and restart this service or to reboot the computer ---------------- 4. TIPS & TRICKS ---------------- This section provides some hints for an even better usage of Alcatel PIMphony: 4.1 - Common · If PIMphony does not display correctly dialed numbers, this way come from a PABX configuration problem. For example, when you dial on your set an external number composed of and the outside access prefix appears on the set display, you have an invalid PABX configuration. To correct, in the PABX numbering plan, you must 'absorb' the outside access prefix (TMN field). · If the dial by name feature seems not to run correctly for one or more contacts, check the following points: - searched name appears in the correct field of a PIM contact. - associated contact has at least one phone number · Short Dial: Some applications (e.g. Outlook, Word, ..) support the Short Dial function simply by: - number selection - and Short Dial key combination Other applications require also a 'Copy' after number selection. · If your set is member of a group and PIMphony does not show incoming group calls, you need to configure the PABX to operate in mode "Group Call by setup" (PABX Read/Write flag GrpCallWSig must be set to 0). · If you use the dial feature of the PIM, be sure that in the PIM telephony configuration options, you use the line "ALCATEL_*". Your calls will then be monitored by PIMphony. However, we recommand to dial from PIMphony. · When you change the PIM driver, you must re-run the popup wizard to make it run correctly. · PIMphony on Alcatel A4400. PIMphony Standard Edition is compatible with Alcatel A4400. The application can be installed behind A4961 (SPI 1st party) or behind a TAPI server. In this last case, we recommand to declare only one line per user so that PIMphony starts with that line and requires no other configuration on the PC client. · If you manually remove and install again the Alcatel TAPI Service Provider in the Telephony Control Panel, you will not retrieve the full functionality of PIMphony. This is because the Alcatel TAPI Service Provider removes some registry keys that have been installed by PIMphony. To retrieve the full functionality, we recommand to re-install PIMphony. · Supervision of subscriber calls. By default, PIMphony does not show supervised subscriber calls. This behavior can be modified by a key in the registry: [HKEY_LOCAL_MACHINE\SOFTWARE\Alcatel\TSpi_4200\Provider] "SupervCall = 1" Two command files are provided for easy modification of the registry: superv_add.reg, superv_remove.reg. On Windows 95, the file uaspi.ini must be modified in the following way: [CONFIG] SupervCall=1 # activates supervision of subscriber calls SupervGroup=0 # de-activates supervision of group calls It is not possible to start a new call when a supervised call is shown on PIMphony. · Supervision of group calls. By default, PIMphony shows supervised group calls. This behavior can be modified by a key in the registry: [HKEY_LOCAL_MACHINE\SOFTWARE\Alcatel\TSpi_4200\Provider] "SupervGroup = 0" · It is possible to open a contact card on transfer for incoming calls. Be sure the criteria "each call" is selected in the popup configuration. · In some rare countries, TAPI modifications must be installed to reflect the current national dialing rules (e.g. Italy, Spain). Please check directory support on the CD. 4.2 - Outlook · For a perfect integration with PIMphony, please respect the following rules: - name format in a contact: in field 'Full name' - phone number format in a contact: for external numbers for internal numbers - fields used for phone numbers and search order: Business, Business2, Home, Home2, Assistant, Mobile, Car Primary, Callback, Company, ISDN, Business Fax, Home Fax Other, Other Fax, Pager, Radio, Telex, TTY/TDD - PIM supports multiple contact cards open simultaneously: yes - Location of a new contact created by PIMphony: in the default personal folder .pst, in the 'Contact' folder - Synchronization required when adding/deleting/modifying a contact: Outlook 2000: none (synchronization is automatic) Outlook 97/98: incremental synchronization or PIMphony restart - PIM state when starting PIMphony: not relevant (Outlook object is started by PIMphony) - actions required when changing the contact folder selection: Outlook 2000: quit PIMphony, quit Outlook 2000, restart PIMphony Outlook 97/98: do a full synchronization · If all phone fields are empty, the dial-by-name will not select the associated contact. · If the dial by name feature seems not to run correctly for one or more contacts, check that Outlook has no reference on an invalid .pst file. To do so, select each folder containing 'Personal Folder'. If Outlook displays an error, the dial-by-name feature and the Popup feature will not work. Correct, by deleting the invalid folder. If it is still not working, do a full synchronization. · Outlook 97/98 only: If you move contacts or directories containing contacts, Outlook changes its internal contact identifiers. The result is that dial-by-name or automatic popup no longer works. Start a full synchronization to correct everything. · It is recommended to enter all external phone numbers in Outlook in the canonical format. Refer to Microsoft documentation for more details on canonical format. Example of canonical format for France: - dialable number: 0388677700 - canonical number: +33 (3) 88677700 · If you delete a personal folder (.pst) in Outlook, you must re-run the PIM folder selection window and validate with OK to no longer taken into account contacts in the delete folder. · If you delete a contact, you must also delete it in the 'Deleted items' folder if you want this contact no longer be seen by PIMphony. Outlook 97/98 only: a incremental synchronisation is necessary after this. · Journaling in the contact card is done automatically by Outlook (if configured) when writing in the main journal. But this is only possible with contacts in the default folder contact (Microsoft Outlook limitation). 4.3 - Goldmine · For a perfect integration with PIMphony, please respect the following rules: - name format in a contact: in field 'Contact' - phone number format in a contact: for external and internal numbers - field used for search by phone number: Phone1 Phone number fields used with dial-by-name: Phone1, Phone2, Phone3 - PIM supports multiple contact cards open simultaneously: yes - Location of a new contact created by PIMphony: in the current database - Synchronization required when adding/deleting/modifying a contact: none (synchronization is automatic) - PIM state when starting PIMphony: not relevant (PIM is started by PIMphony, but must remain active) · On Windows 95, if you want to dial from Goldmine, add the following lines in the file uaspi.ini located in the Windows directory: [CONFIG] MediaDataModem=1 · If you want to dial from Goldmine, it is mandatory that you set the following option in Goldmine: menu 'Edit/Preferences': field 'Modem' must be set to 'Dial number as entered' (and not to 'TAPI format'). Moreover, if you create manually a new contact, the phone numbers you enter must be directly dialable, i.e. must include outside access prefix, area code, ... They must not be in TAPI canonical format. · When using contact card poping with Goldmine, we recommand not minimizing Goldmine because in this situation Goldmine will open but the contact card is hidden and you must use the 'Cascade' display option to find it. 4.4 - Act! · For a perfect integration with PIMphony, please respect the following rules: - name format in a contact: in field 'Contact' - phone number format in a contact: for external numbers in field 'Phone' for internal numbers in fields 'Ext' and in field 'Phone' - fields used for phone number resolution: only indexed fields in the following list: Phone, Ext, Mobile, Home, Alt - PIM supports multiple contact cards open simultaneously: no - Location of a new contact created by PIMphony: in the current database - Synchronization required when adding/deleting/modifying a contact: none (synchronization is automatic) - PIM state when starting PIMphony: not relevant (PIM is started by PIMphony) · Act! searches only phone numbers in indexed fields. By default, only field 'Phone' is indexed. If you specify a phone number in field 'Ext', you must index it (Menu Edit / Define / Advanced). · Act! stores only canonical phone numbers in the 'Phone' field. If you want to store internal phone numbers, you have to store them in the field 'Ext'. · When starting, PIMphony starts first Act! (if necessary). But when the Act! database cannot be opened automatically (for example, when you set the Act! Reminders for database maintenance), the synchronization between PIMphony and Act! cannot be done. In this case, you have to restart PIMphony after the Act! has been opened. 4.5 - Access · If you want to connect to an Access 2000 database, you must first install Access 2000 on your computer. · In an Access database, the phone numbers may be stored either: - in canonical format: +xx yyyyyyy without any non numeric character - or in dialable format including the outside prefix. 4.6 - Settings · For PIMphony IP, you should check the following Volume Control settings for a good voice quality: - in Volume Control mode: - mute the microphone to avoid local echo - adjust the Wave volume - adjust the general Volume Control - in Recording Control mode: - select microphone and adjust the volume - mute (or de-select) all other devices - do not amplify the microphone if this option is available in the Advanced settings · With PIMphony IP, if you have a bad audio quality or a strange audio behavior, be sure you use the latest audio driver available for your computer (you can find it on the web site of your computer manufacturer). In most cases, an up-to-date audio driver solves all audio problems. ------------------ 5. TECHNICAL NOTES ------------------ · The field 'Duration' in the call log is computed by PIMphony and not retrieved from the PABX. Thus, the value in the field 'Duration' may be slightly different from the value used by the PABX to compute the metering tickets. · PIM popup examples are provided on the CD. This examples are only for information and are not supported. --------------- 6. KNOWN ISSUES --------------- Here is a list of Alcatel PIMphony known issues. 6.1 - Installation / Configuration · On Windows 95, if the PIMphony installation requires to reboot the PC, you may get, in seldom cases, the following error message: While initializing device IOS : Error : An I/O subsystem driver failed to load. Either a file in the ./iosubsys subdirectory is corrupt, or the system is low on memory. This is a known bug from Microsoft referenced: Err Msg: "IOS Failed to Initialize" on Boot Last reviewed: September 25, 1998 Article ID: Q157924 To avoid the problem, rename "smartdrv.exe" into "smartdrv.old". For details, please refer to the Microsoft bug reference. · If, for some reason, the installation program cannot install and configure the TAPI Alcatel Service Provider automatically, you can do it manually: How do I manually install Alcatel Service Provider? 1. Click on Start Menu -> Settings -> Control Panel -> Telephony -> Telephony Drivers -> Add... 2. Select "Alcatel 4200 TSPI" and click on Add How do I configure Alcatel Service Provider? 1. Click on Start Menu -> Settings -> Control Panel -> Telephony -> Telephony Drivers -> Configure... 2. Select the Serial communication port (COM Port) and the Error message language · If you get a PC crash on Windows 95 while configuring the Alcatel Service Provider, this may result from an IRQ conflict of the serial ports. To avoid this, you must correct the conflict: 1. Click on Start -> Settings -> Control Panel -> System -> Device Manager -> Ports 2. Check the IRQ of the "Communication Ports" (in "Communication Ports" -> Resources) 3. If a conflict exists, change the configuration with the help of "basic configuration" · On Windows 95, if you get a "Divide by Zero" error message when using PIMphony, this could come from a problem in your video card driver when switching between applications. Be sure you have installed the latest Windows 95 driver available for your video card. You can also try to reduce the hardware acceleration optimization in Start -> Settings -> Control Panel -> System -> Performance -> Graphics -> Hardware acceleration · After installing PIMphony (and the new Alcatel Service Provider), the application 'ConfortDial' (that uses the new Alcatel Service Provider) crashes when the user opens its journal. The problem is in the 'ConfortDial' application. 6.2 - User Interface · On Windows 95, if the PIMphony icons are badly displayed or not drawn at all, this could come from a problem in your video card driver. To avoid that: - either do not start simultaneously several applications at the same time with PIMphony - either install the latest Windows 95 driver available for your video card · In 640x480 display mode, the phone bar does not completely fit onto the screen. · You cannot display any content in a PIMphony help (aochelp.chm) if Content Advisor is set to not display unrated content. To view PIMphony Help contents, click View, Options, click the Security tab, and then click Disable Ratings · Printing selected text from an PIMphony Help page is not supported by Internet Explorer 3.02. · Highlighting of results from a full-text search is not supported by Internet Explorer 3.02. Internet Explorer v4.01 or later is recommanded. 6.3 - Features · Forwarding on no answer to an external destination may not work on some PABX versions. Be sure you have the latest PABX version. · Name presentation of incoming supervised calls is not supported. · If you experience problems with PIMphony and you have a CPU consuming screen saver, we recommend to replace it with a simple 'Blank Screen' screen saver. · As there is always a dialog between PIMphony and the Alcatel telephone through the serial link, it is recommanded not to use the power saving mode to avoid to break the link. 6.4 - PIM · Popup configuration: only one action can be executed on one phone event. For example, this means it is not possible to have both: - open contact - store in journal on an incoming phone call · PIMphony is not able to communicate with Act! on Windows 95 (error "AOCphone caused an invalid page fault in module OLE32.DLL"). This is due to a problem in ole32.dll. Either upgrade this file (must be version > 2.1) or install Internet Explorer 4.0 which upgrades this dll. · If the dial by name and identification features do not work (Outlook) or if you get the following error "Run-time error '429': ActiveX component can't create object", you may have an Office Automation problem, referenced by Microsoft under ID Q244264. This error occurs when the requested Automation object could not be created by COM, and is therefore unavailable to Visual Basic. The error is typically seen on certain computers but not others. Windows NT 4.0 has a known problem with starting Automation servers that live in a folder that contains an embedded space in the name, and/or resembles another folder whose first 8 characters are identical. For example, a server living in C:\Program Files\Outlook may fail to start during a call to CreateObject if there is another folder on the system called C:\Program Stuff\Outlook. An easy way to avoid that is to re-install the server (e.g. Outlook) under a different folder name. · With Goldmine, and on a slow PC, you may experience character loses when dialing quickly in the dial-by-name field. This is a Microsoft Windows bug identified by ID: Q102576. There is no known workaround except typing characters more slowly or using a faster PC. · In Outlook, when you have two contacts with the same phone number but one in canonical format and the other in dialable format, only the contact with the canonical number is opened. -------------------- 7.
